Position Summary:
TransChicago Truck Group is seeking a passionate and detail-oriented Entry-Level Fleet Coordinator to join our Lease and Rental team. This role will be pivotal in supporting the management of our Freightliner truck fleet and lease/rental agreements.

Responsibilities and Duties:
  • Manage maintenance and repairs for all trucks including trucks under contract maintenance, as well as over-the-road (OTR) trucking rental and lease units; this includes setting up appointments at dealers and NationaLease facilities, collecting necessary paperwork, and following up to ensure work is completed timely.
  • Handle the pickup and returns of lease and rental units – this includes pulling/return trucks to/from the lot, performing visual inspections of trucks, and ensuring paperwork is filled out when customers pick up or return trucks.
  • Create and maintain system for accurate lot checks between all locations.
  • Send out new International Fuel Tax Agreement (IFTA) stickers/paperwork to all customers and keeps accurate record to process quarterly state IFTA fuel reports.
  • Manage yearly International Registration Plan (IRP) sending to customers and updating log with plate numbers.
  • Maintain fleet documentation pertaining to the Department of Transportation.
  • Serve as the main point of contact for trucks/customer involved in accidents and insurance companies and adjustors; coordinate damaged trucks being repaired at outside vendors and communicate estimates to customer.
  • Transport new units from body shop to Elmhurst for new truck preparation team and provide updates to service departments.
  • Handle new trucks preparation for lease and rental, pre-delivery inspection, installation of GPS equipment, and placement of decals and IFTA stickers.
  • Handle appearance of lease and rental units including outsourcing detail of truck if needed.

Qualifications and Skills:
  • Two or more years of industry experience or experience in a maintenance role with a fast-paced environment.
  • Valid Driver’s license required. 
  • Familiarity with Microsoft Office Suite; willingness to learn specialized fleet management software preferred.
  • Strong organizational skills with keen attention to detail.
  • Excellent communication skills and the ability to collaborate within a team and outside vendors.
  • Enthusiasm to learn, adapt, and grow within the trucking industry.
  • Able to undergo a background check and drug screen.
